Meeting Room Policies and Fee Structure Purpose: In keeping with the Library’s mission to offer a welcoming place for community interactions, Fayetteville Free Library meeting Rooms are available for use by groups for informational, educational or cultural meetings and programs. Use of the Library meeting rooms does not imply endorsement by the library staff or Trustees of the viewpoint presented. Neither the Name, telephone number nor the address of the Fayetteville Free Library may be used for the official address or headquarters of an organization. Banners, literature, photographs or signage may not be placed anywhere in the Library without the Executive Director or Program Directors permission. Groups must hold their meetings during regular library hours. Permission to use a meeting room after regular hours must be obtained from the Executive Director when reserving the room and will incur additional fees. The library reserves the right to decline the usage for any reason and to cancel a reservation with no notice. Groups which support the direct mission of the library will be given highest priority. Personal conduct and activities will be subject to the FFL Patron Code of Conduct.
Fayetteville Free Library has the following spaces available by reservation for group meetings. No Fees Groups exempt are- A nonprofit under IRS Code 501(c)(3), open membership group that is cosponsored by the library, nonprofit community groups, school affiliated parents or youth groups such as PTA and Home schooling association. Tax ID, proof of 501c3 status, or proof of group membership may be requested during the reservation process. Special Group Rates for Professional Tutors: Tutors who charge for their services are engaging in a for profit exercise unless proof of 501C3 status is provided. A tutor is welcome to meet with a student in any available area of the library free of charge. If a tutor wishes to reserve a room, there will be a $10.00 fee.
For Profit and Private Groups: For all groups other than non-profits the hourly rates are as follows: Small meeting room or partitioned community room (maximum capacity 50): Rate per hour Time length $75.00 1-2 hours $100.00 2-6 hours $300.00 whole day rental Full community room (capacity 200) Rate per hour Time length $100.00 1-2 hours $150.00 2-6 hours $350.00 whole day rental $75.00/hr fee for non-operational hour time covering early meeting start or late meeting ending. Days that the library is closed all day and not open to the public will incur a $75.00 opening fee and a $25/hour attendant fee. Time includes setup time, meeting prep or other times that the room is unavailable for others to use.
Admission Sales: %25 of ticket price receipts will be payable to the library in addition to all room usage fees. All fees other than admission fees are due 10 days prior to the event.

Insurance certificate: A Certificate of Liability Insurance listing the Fayetteville Free Library as an additional insured should be presented on or before the meeting date. It may be faxed to the Executive Director at 637-2306. Security deposit: No security deposit will be required. The Library reserves the right to charge a cleaning or repair fee if indicated after use. A $25.00 fee is required if food or drink will be served. Terms of Payment: All Payments of Room Fees due 10 days prior to the event. Fees from the collection of admissions to the facility will be payable within 48 hours of the event conclusion.
Reservation Changes $25.00 per change if available. If a reservation change can not be accommodated then the cancellation policy will apply.
Cancellations 25% of fees due the library if payment has been made Cancellations prior to payment will not be charged.
Late Payments § $25.00 or 25% (whichever is higher) less than 10 days but more than 2 days prior to event § $100 or 25% (whichever is higher) less than 2 days prior event § $250 or 25% (whichever is higher) day of event or less than 24 hours prior to event
Non-prepayment will result in no occupancy
